Student data in your Academy
What Chirp Builder keeps about your students, who can see it, what students can do with their own data, and how to delete it.
When you're done, you know what's kept about the students in your Academy and how to look after it.
Who this is for: Academy owners. Your students can read their side in Your account and your data.
What's kept about each student
- Their email address and their name: the one you typed when you added them, or else the one they gave when they first signed in. To correct a name, open the student's record and click Change name.
- Their places on your courses and learning paths, and how each place started (you added them, they asked, or a course code).
- Their progress: the lessons they completed, their quiz attempts and answers, and their certificates.
- When they first signed in and were last active.
Students don't have passwords: they sign in with a code we email them. Their conversations with the AI tutor stay in their browser and aren't kept by Chirp Builder; to answer, each question is sent to the AI model, through your OpenRouter account.
Who can see it
You and everyone on your team, viewers included, in the Academy (a course's Students tab, Reports and each student's record). Each student sees only their own data. Nothing about students is public; a certificate's check page shows a student's name only if your certificate design allows it.
Emails students get
Students get:
- their sign-in codes
- an invitation when you add them to a course or a learning path with the invitation switch on, or when you click Resend invite
- an email when you approve their request for a place (adding someone who had asked approves them without an email)
These come from Chirp Builder in your Academy's name. When you add students, you confirm you have their permission to add them and to email them about the course.
What students can do themselves
Under My courses, each student can download a copy of their data and delete their account in your Academy. Deleting removes their places, progress, quiz attempts and certificates. While your Academy is closed, students can't sign in, so they can't do either (certificate check pages keep working).
Deleting a student yourself
On a course's Students tab, Delete removes a student from your whole Academy, with all their places, progress and certificates. Only the account owner can do this, and it can't be undone. To stop a student using one course but keep their record, use End place instead. See Add and manage students.
If your Academy closes
If your account leaves the Academy plan, students can't open your courses, but nothing is deleted. If it was a trial that ended without a plan, everything in the account, students included, is deleted after the 7-day export week.
